Run a proposal version review without losing the decision

Preserve the approved terms and reopen review when material fields change.

Choose the record

Give each review a defined document or specification version. A reviewer should see the fee, deliverables, exclusions, dependencies and timing being considered. “Looks good” in a message is difficult to interpret if the underlying file changed afterward.

Decide what invalidates approval

A changed client name may be a correction; a changed fee or deliverable may require fresh commercial approval. Establish the rule before relying on the status. In the prototype, a revised specification should trigger a new review rather than carry the earlier approval forward silently.

Preserve the earlier snapshot

Keep the previous terms available for comparison. A useful history answers what changed, why and which version produced the output. It should not require a reader to reconstruct the entire negotiation from filenames.

Verify the recipient copy

Open the exported document and check the visible version and commercial fields. Local software approval is a record of an entered decision, not authenticated assent or an electronic signature. The external execution process remains separate and must use the actual parties and final terms.
