Practical guide
Keep a negotiation note separate from agreed terms
An option under discussion should not silently become the approved scope.

Record options explicitly
A client may ask for a lower fee, a different payment stage or another deliverable during the same conversation. Record each proposal with its source and status. A note can capture the discussion without changing the commercial specification.
Connect the chosen option
Once an authorized person decides which option to put forward, update the draft fields and explain the change. Compare the resulting fee, effort and scope. A discount and an extra deliverable together can have a larger effect than either change considered alone.
Preserve unresolved matters
Use a clear open status for missing decisions. Avoid filling a payment period or delivery date merely to make the output look complete. A useful proposal can identify a matter for agreement; an invented term creates false certainty.
Test the boundary
In the local beta, add a negotiation note and verify that it does not overwrite the approved version. Then create a deliberate revision and check the related documents. That distinction makes the software’s behaviour inspectable and helps a reviewer understand which terms remain proposals.
